LaundroDesk Privacy Policy

LaundroDesk is a laundromat-operations application made by MHSNext LLC (Phoenix, Arizona). This policy describes what information the LaundroDesk iOS app, its App Clip, the companion web app, and the LaundroDesk service collect, how it is used, and the choices you have. It also covers our websites (mhsnext.com and laundrodesk.com), which are informational only: they set no cookies and use no analytics or trackers. LaundroDesk is offered in the United States. This policy is written to match what the software actually does — nothing more.

Information we collect

  • Account information. Your name and email address (used to sign in), and — only if they are added to your record — a phone number and mailing address. A phone number is there so your team can reach you, never for marketing. Two-factor authentication, if you turn it on, uses an authenticator app or a code sent to your email address; we do not send codes by text message.
  • Business records your team enters. Machines, reported issues, photos you attach, maintenance schedules, tasks, shifts, and clock-in/out times. These belong to the business account that created them.
  • Customer details a laundromat enters. If the laundromat offers wash-dry-fold, staff record a customer name — and sometimes a phone number — against the order, so the right bag reaches the right person. These are the business's own records: it decides to collect them, it is responsible for telling its customers, and we hold them on its behalf.
  • Device push token. If you enable notifications, we store the Apple push token needed to deliver them to your device.
  • Your location, only when you clock in, and only if your business turns it on. If your business uses location-verified clock-in, your device's coordinates are sent to our servers with that one request so we can check you are at the laundromat. They are used for that check and discarded — they are never written to your shift record or to any other store, and no one on your team can see where you were. What is saved is the same thing that would be saved without the check: which laundromat, and the time. Clocking out sends no location at all. If your business does not use this feature, or you decline the iOS location permission, no coordinates ever leave your device.
  • Technical logs. Our servers record the IP address, time, method, path and result of requests made to the service, which is how we investigate faults and abuse. The web app and laundrodesk.com are delivered through a content network whose access logs additionally record your browser's user-agent and the page you came from; mhsnext.com is not logged at all. These logs are deleted automatically — today after 14 days, and never later than 30.
  • Subscription status. Whether your business's subscription is active, received from Apple. Payment is handled entirely by Apple — we never see your payment details.

What we do not collect

  • No location tracking. We ask for your location at one moment only — the clock-in described above — and never store it. The app does not track you in the background, does not build any history of where you have been, and requests no location at all unless your business has turned on location-verified clock-in.
  • No crash or performance reporting. The app sends us no diagnostic, crash, or usage telemetry. If you opt in to sharing crash data with Apple through your iOS settings, that goes to Apple, not to us.
  • No advertising identifiers, no cross-app tracking, no third-party analytics SDKs.
  • We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising (as those terms are defined in the California Consumer Privacy Act). We never have.

App Clip (customer issue reports)

Customers can scan a QR code at a laundromat to report a machine problem without creating an account. The report contains only which machine it is and a short description of the problem — the App Clip cannot attach photos and asks for no name, contact details, or identifiers. It requests no location and no camera or photo access.

How we use information

To provide and secure the service (signing you in, syncing your business's data to your team, delivering the notifications you enable), to verify a location-checked clock-in at the moment it happens, to investigate faults and prevent abuse, and to respond when you contact us. We may also create and keep aggregated, de-identified statistics — information that can no longer be linked to you or your business — to understand how features are used and to improve the product. We do not use your information for advertising or unrelated purposes.

Sharing

  • Within your business. What teammates see is role-based: staff see colleagues' names and roles, and a colleague's contact details are visible only to owners and managers. Customer details on a wash-dry-fold order are an exception — everyone on the team can see them, because any of them may be the one handing the order back.
  • Service providers. We host on Amazon Web Services (United States) and use Apple for push notifications and payments. They process data for us and are not permitted to use it for their own purposes. The current list of providers, with each one's role and location, is kept on our sub-processors page — we update it and notify account owners before engaging a new provider.
  • Business transfers. If MHSNext LLC is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you — in the app or by email — before your information becomes subject to a different privacy policy.
  • Legal. We may disclose information if required by law or to protect the service and its users.

Retention, deletion, and security

We keep information while your account is active. Data is encrypted in transit and at rest, and access is restricted to authorized personnel. If we learn of a breach of security affecting your personal information, we will notify you and the relevant authorities as required by applicable law.

You can delete your account in the app (Settings → Account & security → Delete account). This removes your profile and the personal details on it, your team memberships, your registered devices, your notifications, and your consent records; it deletes your sign-in, so you cannot sign in again, and ends your sessions.

Deleting your account does not delete a business. Work recorded in a business — issues, comments, shifts and time entries, revenue and expense records — stays with that business, and it keeps the name you were using when you did it, so the business's own history stays readable. That holds even where you are the business's only member: the business record and its data remain, and we can restore access to them on request. What is removed from a business is your membership itself, so you no longer have access to it. The app has no control that deletes a business, and none that hands one to somebody else — a business has exactly one owner and that role cannot be reassigned, so if your team still uses the business, deleting your account leaves it with no owner and nobody who can become one. If you want a business and its records deleted, or you are its owner and your team needs to keep it, email admin@mhsnext.com before you delete your account — neither is self-service, and we handle both by hand under the request process described below.

Some records are retained after deletion where we have a legitimate need or legal obligation to keep them — for example, encrypted backups, kept on a rolling 35-day window so we can recover from an outage or a mistake; security and audit logs (a record of significant actions, such as when data was created, changed, or deleted, and by whom); records needed to comply with tax, accounting, or other laws; and information needed to resolve disputes, prevent fraud or abuse, and enforce our agreements. Backups and logs expire by themselves, on the cycles described above. What we hold to meet a legal obligation, or to resolve a dispute or prevent abuse, we keep only while that need lasts.

A business's own records work differently, and the paragraph above should not be read as covering them: they do not expire. Issue history, the audit log of what was done in the business, the name attached to each action, and the customer details on a wash-dry-fold order all stay for as long as the business does, under its owner's control. Nothing deletes or de-identifies them on a timer. Diagnostics are kept only as long as needed to troubleshoot.

Your rights and choices

You can view and correct your name and email address in the app, disable notifications in iOS Settings, and delete your account entirely. The phone number on your team record is entered and changed by an owner or manager of your business. A mailing address on your profile is not editable in the app today — email us to change or remove one.

You may also request access to, correction of, a copy of, or deletion of your personal information — including under the laws of your state — by emailing admin@mhsnext.com. We will verify your identity (normally by confirming control of your account email) and respond within 45 days. We will never discriminate against you for exercising a privacy right. If we decline a request, we will explain why, and you may appeal by replying to our response; we will answer the appeal within 45 days. An authorized agent may submit a request on your behalf with proof of authorization.

Employees of a business

If you use LaundroDesk because your employer added you to their team, your employer controls the business account and the work records in it (such as shifts and time entries). For those work records we act as a service provider to your employer — requests about them should go to your employer first, and we will assist your employer in honoring them. This policy still governs how we handle your personal information.

Children

LaundroDesk is a business tool, is not directed at children, and may not be used by anyone under 13.

Changes

If we change this policy, we will update this page and the date above, and for material changes we will notify you in the app before they take effect.
